MEETING MINUTES - DECEMBER 2011

Minutes of the Board of Raymore-Peculiar Band Boosters Club, Inc.

December 13, 2011

The regular monthly meeting of the Raymore-Peculiar Band Boosters Club, Inc. was held on December 13, 2011 in the conference room of the high school south building.  Present in person at the meeting were Tonya Bennett, Missy Wilson, John Wilson, Alan Worden, Sandy Worden, David Kent, Jackie Coop, Jennifer Gibson, Kim Schwartzman, Mike Schwartzman, Wendy Erwin and Kim Roberts.

John Wilson moved to approve the November meeting minutes.  Kim Schwartzman seconded the motion.  The minutes were approved.

Directors Report

All State tryouts were held December 3rd.  One student, Logan Jungman was selected for the Honorable Mention band.  This is the first Ray-Pec student to make the state band since 2006. 

The winter concert will be held Tuesday, December 20th at 7pm.  Concert band, percussion ensemble and the Symphonic band will perform.  Students will be asked to bring 2 dozen cookies for refreshments after the concert.  Beverages will be supplied by the Band Boosters.

Jazz band will begin practices after the winter break.  They will meet Tuesday mornings and Wednesday afternoons.

There have been two pep bands so far.  There will be more in January and February.

Hotel rooms at Windermere for Tan-Tar-A will run $49 per night (double).  There are 69 students, and 8 adult sponsors going.  The directors will already be at the conference so Jackie Coop and another adult, possibly Missy Wilson will be riding the busses down with the students.  There is some question as to whether a school employee must be on the bus with students.  Missy is not a district employee. Alan and Sandy Worden will be driving the school box van with the instruments, equipment and concert attire.  Busses will leave around 4:00 p.m. Thursday, January 26th.  The Symphonic Band performs at 10:30 a.m. Friday, January 27th.  The busses will stop on the way down for dinner. Students and adults should bring their own money for dinner.  Breakfast will be donuts, juice and fruit the following morning provided by the Band Boosters.  The school will pay $6.00 per student for lunch on the way home. Adults will be responsible for their own lunch. Gas for the box van and half of the room cost (Holiday Inn) will be paid for Alan & Sandy.  All together a sum of approximately $1500 is needed to cover Tan-Tar-A costs.  Kim Roberts made a motion to approve the Band Boosters paying the $1500 expense.  The motion was seconded by Alan Worden.  The motion was approved.

All District Band will be held in Warrensburg on the campus of UCM.  The school district will not pay for hotel rooms for the overnight stay.  There are 29 students and 4 teachers attending January 6 & 7, 2012.  Rooms at Holiday Inn Express are $77 plus tax.  Students will be 4 to a room and will be asked to either have their portion of the cost deducted from their student account or pay the band boosters. 

Treasurers Report

The Savings account balance is $18,923 as of 11/30/11.  The Checking account balance is $17,849 as of 11/30/11.  There are expenses to be paid from checking in the amount of $3000 for concert dresses, $2500 expenses previously approved for Mr. Wilson leaving the checking account balance at $11,923.  This is before the District Band and Tan-Tar-A expenses approved at this meeting.

We still need to pay for the $25 Kurzweil’s gift certificate & ribs for the top seller of the meat packages.  Prizes for the top sellers will be handed out at the winter concert.  They still need to be delivered to the Boosters.

Pictures of the senior at Arrowhead on senior night need to be paid for.

Student account statements will be handed out at the winter concert.

Hospitality Report

Students will be asked to bring 2 dozen cookies to the winter concert for refreshments afterward.  Hospitality will provide beverages (cranberry sierra mist or water).

The committee will look into what needs to be purchased for the Tan-Tar-A breakfast.

Fundraising Report

We had 75% participation (sales or buy out) for the Kurzweil’s meat package sales.

The Father/Daughter dance preparation meetings have been well attended so far.  Students are working to earn money for the 2012 band trip to San Diego.  The dance will be held Saturday, February 18, 2012.

Culver’s Nights will provide fundraising opportunities in the upcoming months.  February 1, March 1, April 3 and May 2 are the dates.  The committee is considering having each grade (this year 8th – 11th) have a night raise funds. 

The committee is looking at a March date for a Charming Charlie’s shopping night.  Students may sell tickets ($5.00 each)?

Other ideas include, pancake breakfast with the Easter Bunny at Applebee’s, selling spring flowers.

A suggestion was made to sell a copy of the band (along with the Joplin band) spelling out the word “Hope” at the Arrowhead game. 

Band Dads Report

Thank you to Brian Kincaid for pulling the trailer to the City Lights event in November.  Thanks also to Dan Bragga and Mike McIntosh for helping load as well.

Alan & Sandy Worden will be driving the school district box truck to Tan-Tar-A.

Uniforms Report

Most of the fittings are completed for the new concert dresses.  All dresses will be hemmed and ready for the winter concert.

The committee ordered three additional tux pants for the concert. 

For the winter concert, girls will not be allowed to wear a necklace and will only be allowed to wear small earrings.  They will not be allowed to wear flip flops of any kind. 

The committee suggested that a each year students and their parents be asked to sign a contract when issued their marching uniform or concert uniform.  Students and parents should be held responsible for damage that is caused to the uniform.  The committee has seen damage and or experienced loss of items that go with the uniform and they feel this would end up being expensive for the Band Boosters to replace.

Missy Wilson made a motion to adjourn the meeting.  Kim Schwartzman seconded.  The motion was approved.
