RAYMORE-PECULIAR BAND BOOSTERS CLUB, INC.
September 12, 2011
The regular monthly meeting of the Raymore-Peculiar Band Boosters Club, Inc. was held on September 12, 2011 in the band room of the high school south building. Present in person at the meeting were Tonya Bennett, Sherri Jungman, Alan Worden, Sandy Worden, Les Briner, Lynn Kent, David Kent, Brian Kincaid, Jackie Coop, Penny Wilson, Carla Daniel, Dillon Jarrett, John Wilson, Missy Wilson, Wendy Erwin.
Alan Worden moved to approve the August meeting minutes. David Kent seconded the motion. The minutes were approved.
Director’s Report – Mr. Wilson
Drumline played Saturday September 10th. They placed second in their division.
Activity fees, and insurance fees that are due to the school need to be paid before the Webb City competition. We may need to contact those students that have not paid.
For the Raymore parade, we are closer to the front in order this year. That way we can get everyone back on the bus and head for Webb City. We will wear bibers and band shirts for the parade.
We perform at 2:45 p.m. at Webb City.
Thanks for all the help at the Friday night football games.
There are some color guard changes coming. Mr. Wilson will make an announcement later.
Students need to be practicing the all district band and all state band music. It is the same as in the past. This year’s Symphonic Band members will need to be decided by November 1st as a list of the students is needed for the Tan-Tar-A event in January.
Communication report – Mr. Jarrett
There is a video of the drumline and the band from the football games on the website.
We are averaging 438 unique visitors per month to the website
We have earned almost $30 from the t-shirt sales from the website. Mr. Jarrett will try to put more Middle school and Intermediate school information on the website.
Vice-President report – Missy Wilson
We are gathering information for Senior Night at Arrowhead. We may not be able to do posters as we have in the past.
The trash bag sales went well. We sold approximately 1000 more bags. Student accounts will be credited from the $5157 profits. There will be more sales in September with delivery in October. We may ask about selling the pink bags at the Rockhurst game on October 14th.
We need another Band Booster fund raiser. One idea might be a Kurzweil’s meats package. We could offer a prize to the top seller.
Program sales are okay. We sold approximately 133 the first game. Homecoming and Senior night we usually sell more. For the Joplin game we might need to donate a portion of the sales.
Treasurer report – Sherri Jungman
The savings account balance is $14,131.06. The checking account balance is $21,121.33.
Hospitality report – Carla Daniel and Penny Wilson
We have a few people that have volunteered to work the Friday night football games.
The water bottles were a much better choice that cups of water.
We would like to look into getting a Sam’s Club card in the name of the Band Boosters.
80% of the student chuck wagon fees have been received.
The committee needs information on the performance times and food needs for the competitions. When will we need two meals?
The committee passed out a survey to the students to see what they would like to eat at the competitions and to check for allergies and vegetarian choices.
They will be serving pizza at the Webb City competition.
Band Dads – Alan Worden
The inside of the trailer has improved to allow more room for the timpani drums and large instruments. A third rack has been made for uniforms. The small trailer used at competitions isn’t big enough for all of the front line equipment and the drum major stands. The stands will need to be rolled in on their own.
Uniforms – Wendy Erwin
The tuxes are at the dry cleaners, and should be back soon. We may not have the new jackets before the Webb City competition. We may need to put the frontline in something else.
We ran out of black hangers for the uniforms. We can get 100 for $50 or 12 for $25. A motion was made by Mr. Jarrett to buy 100 new black hangers. Alan Worden seconded. Motion passed.
We will probably need to place a second order for shoes.
New Business
We have about $2000 in previous year senior student accounts that would be moved to the benevolent account. Missy Wilson made a motion that half of that money ($1000) be moved into the general fund account instead. Alan Worden seconded. Motion passed.
Mr. Wilson proposed the following budget for upcoming needs:
$400 – 4 songs for Tan-Tar-A
$200 – Jazz band music
$1,400 – Symphonic and Concert band music for spring contest
$1000 – General instrument repair
$1,500 – to pay for college professors to come in and evaluate Symphonic band for the Tan-Tar-A event and clinicians for the spring pre-contest season
Mr. Wilson made a motion that the above budget in the amount of $4,500 be accepted. Wendy Erwin seconded the motion. Motion passed.
The band will be performing at the City Lights event downtown on November 17th.
The Symphonic band will perform at 10:30 a.m. at Tan-Tar-A so they will need to travel there the night before and stay overnight. Mr. Wilson will look into staying at Windemere.
Alan Worden made a motion to adjourn the meeting. Jackie Coop seconded. Motion passed.
